Before you share
Know the request.
Before you share.
You can ask a question without sending identity files. If your application needs documents or an identity-verification photo, we explain the request before collecting them.
Your city, approximate residence dates and the document you need are enough to start. Leave out passport numbers, scans, photos and police records.
What might your application need?
Depending on the route, a checklist may include relevant passport pages, China visa or residence records, an authorization form, application records, or an identity-verification photo. These are examples, not a request to send every item. We confirm the required material for your circumstances.
Why a photo holding my passport?
Some local offices may require a photo holding an identity document to verify the applicant. If it is needed, we identify the requesting office, explain why it is required and provide the exact instructions. We also explain which local representative and office will receive it.
You can ask us to explain the request or check whether an accepted alternative exists before taking a photo. There is no universal photo requirement for every city or application.
The item held in a photo also varies by office: it may be an authorization rather than a passport. See the preparation checklist and the relevant city guide, then wait for the exact instructions for your application.
What we explain before collection.
- The material: the specific document or photo and the relevant pages or details.
- The reason: the application step it supports and whether it is required or optional.
- The recipients: the relevant representative, office and other necessary service providers.
- The locations: where the information will be accessed, processed or stored, including China-side work.
- The handling: the agreed channel, access arrangements and applicable retention or deletion schedule.
- Your choices: how to ask questions, decline optional material or withdraw authorization for future handling.
China-side work and your Canadian service provider.
China Notary Help is a service of 15644178 CANADA INC., based in Toronto, Canada. Carrying out the agreed work may require authorized representatives and relevant offices in China to receive your information. The Canadian company remains your contact for the handling we arrange.
Processing abroad is subject to local law, which may allow access by local courts or authorities. Issuing authorities and notarial offices may keep their own records under applicable requirements. We explain the relevant recipients and handling for your case before you authorize the document request.
How to provide the requested files.
Wait for a case-specific request and an agreed document channel. Send only the requested material. Please do not post identity files in public comments, group chats or the first WhatsApp inquiry.
This website currently accepts inquiries only and does not offer file uploads. If you receive an unexpected request or upload link, verify it using our published business number before sharing documents.
Do not redact or watermark a required application file unless the requesting office confirms that the altered version is acceptable. Ask us first if you want to limit what a file reveals.
Your authorization and choices.
We ask for the appropriate authorization for the specified material and purpose before collection. Identity photos are requested for the agreed verification step, not for advertising. Additional material or a new use requires an explanation before we proceed.
You may ask about alternatives or withdraw authorization for future handling, subject to applicable limits. Declining a required item may prevent that application route. Withdrawing authorization cannot automatically remove records already submitted to an authority.
