1. Reconstruct the stay

Write down cities, addresses, approximate dates, passport changes and visa or residence-permit types. Distinguish travel visits from the periods when you lived in China. If several cities are involved, do not assume the last office will certify every earlier period.

2. Confirm what the recipient wants

Ask the immigration authority, employer or other recipient which period, certificate type, language and authentication it requires. Remove personal identifiers from its instructions before sharing them for the initial assessment. Flag the deadline and whether originals will be required.

3. Check the local route

We identify the responsible Exit-Entry department and, where needed, a suitable notarial office. The published national rules allow a representative, but the actual overseas authorization and handling of originals must be checked locally. Online self-service and delegated filing may be different channels.

4. Approve the wording before signing abroad

An authorization should identify the permitted tasks and the intended representative, without granting unrelated powers. Confirm whether the receiving office requires overseas notarization, an Apostille or consular legalisation, Chinese translation and a paper original before paying to prepare it.

5. Share only the requested evidence

After the route is agreed, we send a case-specific request identifying the necessary pages, purpose, recipients and channel. Some offices may ask for a live check or a photo holding an identity document or authorization. The exact requirement must come from the office handling your case.

6. Review coverage and arrange delivery

Before final delivery, check the name, passport connection, period covered, translation and any agreed authentication. An electronic preview may be enough to spot errors but may not replace paper originals for submission. Agree the shipping address, recipient and courier cost separately.

If a record or period cannot be documented

Tell us about missing records early. We can check what evidence or alternative procedure the local office accepts. An agency cannot guarantee that the authority will issue a certificate or that another organization will accept a substitute. Where the recipient has a process for explaining unavailable records, follow its current instructions.
