Identify the fact or document first

Start with what the receiving organization actually asked for: a police record, a birth or marriage document, a certified copy, a translation or an authorization. Similar English labels can describe different Chinese notarial acts. We assess the requested form before asking a local office to prepare it.

Our completed work is primarily PCC-related. Other notarial matters are assessed individually for local availability and evidence requirements, then accepted only within a written scope.

Evidence and notarial jurisdiction

The selected notary decides whether it has jurisdiction and sufficient evidence to establish the requested fact or document. Identity, original records, the connection to a Chinese city and the intended use may all matter. A provincial or city checklist for Chinese hukou applicants should not automatically be applied to a foreign resident.

For PCC work, confirm whether the notary expects an already issued police result or directs an initial inquiry to the police. A notary’s public online service does not mean every foreign or overseas application can be completed through that portal.

If you are abroad

We confirm whether a representative can handle this particular act, the exact power of attorney and the accepted method of checking originals. The notary may request a live identity check or a specific photo. Where an office asks for a photo holding the authorization, we do not substitute a passport selfie or collect both by default.

Language, copies and destination

Confirm the receiving country, organization and purpose before issuance. The notarial statement, translation and any certification that the translation matches the source are separate questions. Tell us if the recipient has provided a sample or special wording.

We check the required number of originals and the intended submission date. A document’s acceptance period is set by the receiving authority and purpose; there is no single validity period for every Chinese notarial document.

What the quote should identify

  • The document or fact to be notarized and the responsible local office.
  • Evidence, originals and representation requirements.
  • Language, translation certification and number of copies.
  • Any separate Apostille / legalisation and physical delivery.
  • The expected sequence, estimated timing and treatment of additional work.
